Privacy Policy
Last updated: April 2, 2026
1. Introduction
Universal Booking (“we,” “us,” or “our”) provides an online booking and business-management platform for service businesses and their customers. This Privacy Policy explains how we collect, use, disclose, and safeguard personal information when you use our website (including marketing pages), business dashboards, public booking pages, and related services (collectively, the “Services”).
By using the Services, you agree to this Privacy Policy. If you do not agree, please do not use the Services. For contractual terms governing use of the platform, see our Terms of Service.
2. Information we collect
2.1 Account and business data
When you register a business account, we collect identifiers such as name, email address, phone number, password (stored securely), business name, public slug, and optional profile details you choose to display (logo, banner, hours, social links, descriptions, etc.).
2.2 Booking and customer data
When end customers book through a business’s public page, we process information required to fulfill the appointment (e.g., name, phone, selected service, date, and time). This information is associated with the relevant business account for operational and record-keeping purposes.
2.3 Subscription and billing
If you subscribe to a paid plan or trial, we collect subscription status, plan identifiers, trial dates, renewal dates, coupon usage, and payment-related metadata necessary to operate billing and access control. Payment processing may be handled by third-party payment providers; we do not store full payment card numbers on our servers when such providers tokenize card data.
2.4 Technical and usage data
We automatically collect certain technical information when you use the Services, including IP address, browser type, device type, approximate location derived from IP, pages viewed, referring URLs, timestamps, and diagnostic logs. This helps us troubleshoot, secure the platform, and understand aggregate usage patterns.
2.5 Communications
If you contact support, respond to surveys, or subscribe to updates, we retain the content of those communications and your contact details as needed to respond and improve our services.
3. Analytics and cookies
We use cookies and similar technologies (e.g., local storage, session identifiers) to operate authentication, remember preferences, prevent fraud, and measure how the Services are used. Depending on configuration, we may use first-party analytics (e.g., aggregated page views, feature usage, error rates) and, where enabled, third-party analytics or performance tools (e.g., to understand traffic sources or conversion funnels).
Where we offer optional visitor or page-view metrics for business dashboards (e.g. to understand public booking page traffic), such metrics are aggregated or processed in a way that supports business insights, subject to product availability and your privacy settings. You can control cookie preferences through your browser; see our Cookie Policy for more detail.
4. How we use information
We use personal information to:
- Provide, maintain, and improve the Services;
- Create and manage accounts, authenticate users, and enforce access rules (including trials and subscriptions);
- Process bookings, send confirmations or operational notices, and display information on public business pages as directed by the business;
- Process payments, apply coupons, and manage subscription lifecycle events;
- Monitor security, detect abuse, and comply with legal obligations;
- Analyze usage in aggregate to improve product performance and user experience;
- Communicate with you about updates, support, and (where permitted) marketing.
5. Sharing of information
We do not sell your personal information. We may share information with: (a) service providers who host infrastructure, send email, process payments, or provide analytics tools under strict confidentiality and data-processing terms; (b) professional advisors where required; (c) law enforcement or regulators when required by law; (d) with your explicit direction (e.g., when a business’s public page displays information you provided as a customer). Business users are responsible for their own privacy notices toward their end customers.
6. Data retention
We retain information for as long as your account is active or as needed to provide the Services, comply with legal obligations (including tax and accounting rules), resolve disputes, and enforce agreements. Subscription and billing records may be retained for a period consistent with financial and legal requirements. Aggregated or de-identified data may be retained indefinitely.
7. Security
We implement administrative, technical, and organizational measures designed to protect personal information against unauthorized access, loss, or alteration. No method of transmission over the Internet is completely secure; we encourage strong passwords and safeguarding your account credentials.
8. Your rights and choices
Depending on your location, you may have rights to access, correct, delete, or export certain personal information, or to object to or restrict certain processing. You may request account deletion subject to legal and contractual retention needs. To exercise these rights, contact us using the details below. You may also unsubscribe from marketing emails via the link in those messages.
9. International transfers
If you access the Services from outside the country where our servers or processors are located, your information may be transferred to and processed in countries that may have different data protection laws. We take steps designed to ensure appropriate safeguards apply where required.
10. Children
The Services are not directed to children under 16 (or the minimum age in your jurisdiction). We do not knowingly collect personal information from children. If you believe we have collected such information, please contact us so we can delete it.
11. Changes to this policy
We may update this Privacy Policy from time to time. We will post the revised version with an updated “Last updated” date and, where appropriate, provide additional notice (e.g., email or dashboard notification). Continued use of the Services after changes constitutes acceptance of the updated policy.
12. Contact
For privacy-related questions or requests, contact us at the support channel listed on our website (e.g., Help or Contact section). Please include your account email and a description of your request so we can assist you efficiently.
